Camp Policies

The following policies apply to all camps hosted by Fully Loaded Hitting, LLC. These policies are intended to provide clarity, consistency, and transparency for all participants and families.

By registering for or attending a camp, you acknowledge that you have read, understand, and agree to the policies outlined on this page.

Required Agreements

All participants are required to have a signed Participation Agreement and Medical Release Agreement on file prior to participation.

These agreements govern, among other things, assumption of risk, liability, medical treatment authorization, and emergency care related to all camps and activities. Participation in any camp is not permitted without these agreements on file.

Registration and Participation

Camp registration is completed on a first come, first served basis and is not confirmed until payment is successfully processed.

Participation is limited to registered participants only. Walk ups or unregistered attendees are not permitted.

Cancellations and Refunds

Participant Cancellations

Refund eligibility is determined by the date written notice is received.

More than 14 days before the start of camp - A full refund will be issued minus a $25 administrative fee.
7 to 14 days before the start of camp - A 50 percent refund will be issued.
Less than 7 days before the start of camp - No refunds will be issued.

All cancellation requests must be submitted in writing.

Illness or Injury

In the event of a serious illness or injury that prevents participation, the following applies.

With Medical Documentation
A full refund will be issued minus a $25 administrative fee.

Serious illness includes, but is not limited to:

Hospitalization or conditions that prevent physical participation
Contagious illnesses such as COVID-19, flu, strep, etc.

Other medical situations may be reviewed on a case by case basis and may qualify for a partial refund at the discretion of Fully Loaded Hitting, LLC.

Medical documentation must be submitted within 7 days of the cancellation request.

Credits

As a general policy, credits are not issued for future camps, clinics, lessons, or other programs.

No Show Policy

Participants who fail to attend camp without prior written notice are not eligible for a refund, transfer, or credit.

Transfers

Transfer requests must be submitted at least 7 days prior to the start of camp and are subject to availability.

Each participant may be eligible for one complimentary transfer.
Additional transfer requests may incur a $15 processing fee.
Transfers are not guaranteed and require approval.

Camps Canceled or Rescheduled by Fully Loaded Hitting

If a Camp Is Canceled

If Fully Loaded Hitting cancels a camp for any reason, including but not limited to low enrollment, weather, facility issues, or staffing constraints, all registered participants will receive a full refund.

If a Camp Is Rescheduled

If a camp is rescheduled, participants may choose one of the following options:

Transfer to the rescheduled date at no additional cost.
Request a full refund minus a $25 administrative fee within 48 hours of the reschedule notice.

Refund requests submitted after the 48 hour window are not eligible for a refund.

Behavior and Safety Policy

Fully Loaded Hitting is committed to maintaining a safe, respectful, and productive training environment.

Unsafe, disruptive, or disrespectful behavior will not be tolerated.
When appropriate, a participant may receive one warning.
Immediate removal may occur for serious or unsafe behavior.
Parents or guardians will be notified of any behavioral concerns.
No refunds or credits will be issued for removals related to behavior or safety violations.
